Clubtab: a new app to collect subs and match fees for grassroots clubs
Clubtab lets parents pay subs from a link and matches every payment to the right player. Here's how it works, what it costs and what Stripe's fees mean for your team.

If you've ever volunteered as a grassroots team manager, you'll know the Sunday-night routine: opening the banking app, spotting a transfer labelled "MRS T WALKER £30", and working out whether that's subs, kit or the tour deposit. Clubtab, a new team money app for UK grassroots clubs, is aimed squarely at that job, and it's been set up in time for the 2026/27 season.
What Clubtab does
Clubtab replaces the team spreadsheet. Parents pay subs, match fees, kit and tour money from a link, by card, Apple Pay, Google Pay or Direct Debit, and each online payment lands against the right player automatically. For money that arrives another way, managers record cash in a couple of taps and upload the team's bank statement once a month; Clubtab then suggests which player each transfer belongs to, and most need just one tap to confirm.
Every family gets a private statement link showing what's been paid and what's still due, with a Pay button. Parents don't need an app or an account. There are also "pots" for things like tour money, receipts, and a year-end pack that bundles the ledger, statements and receipts for the club treasurer.
For clubs with several teams, a club plan gives the treasurer one view of every team's balance, payments still to match and overdue statements, while each team keeps its own bank account in the manager's name. Clubs can add their crest and colours so parents see the club's name on statements rather than Clubtab's.
Where the money goes
This is the question most committees ask first. According to Clubtab, payments go straight into the team's or club's own bank account through Stripe, and Clubtab never holds the money. You don't need to connect your bank account: online payments match themselves, and the monthly statement upload covers everything else. Clubtab says data is kept in the UK, and that its support team can only see an account when a manager allows it, for a set time.
What it costs
- Free: £0 for one team, plus a Clubtab fee of 20p on each online payment. No card needed to start.
- Team: £49 per team per season, with no Clubtab fee on payments, plus Direct Debit for monthly subs, pots, sponsors, receipts and the year-end pack.
- Club: £199 per club per season, with five teams included and £29 for each extra team, plus the treasurer overview and club branding.
Seasons start on 1 August unless your club picks another date, such as 1 March for cricket. Join mid-season and you pay only for the months left, with a three-month minimum. You can cancel at any time.
On top of that, Stripe's processing fees come out of each online payment before it reaches the team: 1.5% + 20p for a card, Apple Pay or Google Pay, or 1% capped at £4 for Direct Debit. Clubtab points out that UK law doesn't allow card surcharges, so parents pay exactly what's asked and the fee comes out of what the team receives.
A worked example
Here's our own rough sum, using Clubtab's published prices. Take a squad of 20 paying £10 a month in subs for a 10-month season, so 200 payments of £10.
- By card: Stripe's fee is 35p on a £10 payment (Clubtab's own example), so about £70 over the season. On the Free plan, Clubtab's 20p adds another £40, making about £110. On the Team plan it's the £49 season fee plus the same £70, about £119.
- By Direct Debit: 1% of £10 is 10p, so about £20 in Stripe fees over the season. Add £40 in Clubtab fees on Free (about £60 in total), or £49 on Team (about £69).
So for one squad like this, the Free plan works out slightly cheaper; the Team plan starts to pay off once a team takes more than about 245 online payments a season, or if you want its extra features. Your numbers will depend on squad size, how often you collect and how parents choose to pay.
Who it suits
Clubtab is built for volunteer team managers, club treasurers and the parents who pay them, in any sport, from rugby and football to netball, hockey, cricket, swimming and gymnastics. It's aimed at junior and grassroots adult teams. If your team already collects everything by bank transfer and a spreadsheet works fine, the Free plan is an easy way to try it without changing banks or your WhatsApp group.

Do parents pay anything extra?
No. Statements are free for parents, and they pay exactly what's due, online or by bank transfer.
Do we have to change bank?
No. Turning on online payments takes about ten minutes with Stripe, and the money goes into your existing team account.
Can we import our spreadsheet?
Yes. Clubtab says you can import your spreadsheet and a bank statement in about 20 minutes, and your old sheet stays as it was.
Who owns the data?
Your club. Clubtab says you can cancel any time and take your data with you.
